1. Scope

This Privacy Policy explains how semaexhibits.com handles personal information when you browse this website, consent to analytics or advertising technologies, call or email, upload files, or submit a consultation or quote request. The site uses the public-facing brand SEMA EXHIBITS. It is an independent exhibit-services website and is not the SEMA Show organizer or an endorsed partner of the Specialty Equipment Market Association.

2. Information you choose to provide

The quote flow can collect your name, company, work email, phone, job title, referral source, preferred contact method, event identity, dates, venue, space size, exhibit type, first-time status, project purpose, product and media needs, estimated staff count, requested features, design concept, brand direction, industry, budget range, notes, consultation acknowledgement, and files you choose to upload.

Do not upload passwords, payment-card data, government identifiers, medical information, or unrelated sensitive personal information. Provide files only when you have authority to share them.

3. Technical and usage information

The website and its infrastructure may process basic request information needed to deliver and secure the service, such as IP address, browser and device information, requested URL, timing, error and security signals, consent state, and anti-abuse data. The protected form uses a short-lived signed session, a honeypot, timing checks, coarse rate limits, attachment validation, and an idempotency key to reduce automated abuse and duplicate submissions.

4. Cookies, analytics, and advertising consent

Essential browser storage may be used for the site's operation and to remember your consent choice. Google Tag Manager, Google Analytics 4, and Google Ads tags are not loaded unless you grant the applicable consent through the site's consent control and the corresponding measurement identifiers are configured. If you decline, those optional tags remain disabled.

When enabled, those providers may process device, interaction, and conversion information according to their own terms and privacy notices. Public conversion events do not intentionally include quote-form answers or uploaded-file content. You can change your choice by clearing the site's stored consent setting and revisiting the site.

5. How information is used

Information is used to respond to your request, evaluate project fit, prepare or discuss a quote, coordinate exhibit services, confirm scope and availability, secure the website, prevent abuse and duplicates, troubleshoot delivery, keep required business records, and comply with applicable obligations. Information is not sold.

6. Private uploads

Approved PNG, SVG, AI, PDF, and JPG attachments are uploaded through short-lived authorization directly to private object storage. The website verifies expected object identity, size, type, extension, and selected file signatures before accepting a final submission. Uploaded files are not intentionally published as public website assets. SVG files with active content are rejected by the validation path.

7. Service providers and disclosures

Information may be processed by vendors that provide website hosting, private object storage, transactional email, secure lead delivery, CRM or webhook delivery, security, and—only after consent—measurement or advertising services. The production configuration supports AWS S3 for private uploads and either AWS SES or an authenticated HTTPS lead webhook for the protected handoff. Google measurement services load only under the consent conditions described above.

Information may also be disclosed when reasonably necessary to comply with law, protect rights or safety, investigate abuse, complete a business transaction subject to appropriate safeguards, or work with professional advisers. A vendor relationship does not imply endorsement by any event organizer, venue, contractor, or trademark owner.

8. Retention

Information is retained for the time reasonably needed to handle the consultation, administer a project, maintain appropriate business and consent records, resolve disputes, secure the service, and meet applicable obligations. Retention periods depend on the record, relationship, configured provider, and legal requirements. Private attachments should be deleted or archived under the production retention policy when no longer needed.

9. Security

Administrative, technical, and organizational safeguards are used to reduce risk, including server-only credentials, encrypted HTTPS transport, no-store form endpoints, signed short-lived form sessions, private object storage, allowlisted upload types, content checks, rate limits, generic public errors, and protected delivery. No method of transmission or storage can guarantee absolute security.

10. Your choices and requests

You can decline optional analytics and advertising consent, choose what non-required information to provide, avoid uploading files, or contact the site about access, correction, deletion, or another applicable privacy request. Rights and verification requirements vary by jurisdiction. The site may need to retain limited information when required or permitted for security, legal, contractual, or recordkeeping reasons.

11. Children

This business-to-business website is not directed to children, and the quote service is intended for people acting in a professional or organizational capacity. Do not submit a child's personal information through the form.

12. External links

The site links to official event, venue, contractor, and other third-party resources for factual planning. Those websites operate under their own policies and controls. Review their notices before providing information.

13. Changes to this policy

This policy may be updated when the website, providers, legal requirements, or information practices change. The effective date at the top identifies the published version. Material changes should be reflected in the consent and form records when applicable.
